Restrooms and Changing Space for Training Clients

A tidy changing area with wooden benches and a clean shelf, relevant to restrooms and changing space for clients

Clients expect to find a restroom and, ideally, a private place to change before a session, and since a facility’s offer varies, the right move is to confirm it in writing and tell clients before their first visit. This page makes no claim about what any one facility provides. It explains why the question matters, what to ask and how to handle the answer, whatever it turns out to be.

Why this question affects retention

Clients decide whether to come back based on small comforts. An unanswered question about where to change becomes anxiety on the drive over, and anxious clients cancel. A few situations make it matter more:

  • A client who arrives in work clothes and wants to train in comfortable ones.
  • A client who is self conscious and would rather not change in front of others.
  • A client with a medical or mobility need who needs a roomy, accessible restroom.
  • A client who needs a restroom right before or after a hard session.

A coach who has an answer ready for each looks organized, and that is half of what clients are buying.

The questions to ask the host

Send these in one email and keep the reply:

  1. Is there a restroom on the floor, and how far is it from my room?
  2. Is there a place to change, and is it private?
  3. Is the restroom open during all booking hours?
  4. Who looks after the restroom, and who do I tell if there is a problem?
  5. Is the restroom accessible to a client who uses a wheelchair or walker?

Do not repeat an answer to clients that you have not read in writing. If the host does not say, treat it as unknown and plan around it.

Plan around the answer

If a private changing space is available: tell clients where it is and how long to allow.

If there is only a restroom: say so, and suggest clients change there before they arrive for the hour, since the clock runs on the booking.

If nothing is available: ask clients to arrive dressed to train and to bring a small bag, and keep your first conversation about work clothes brief and kind.

For all three cases, write a short arrival script. The waiting area page shows how a private hourly facility handles arrivals and handoffs, which matters because the client has no lobby to settle in. The parking page covers the walk from the garage, which is part of the same arrival.

Build it into onboarding

Add three lines to your welcome message: where to park, where the restroom is and what to wear. Add a line for any client who tells you they have a concern, and ask them privately. Everyone feels better knowing the plan, and nobody feels singled out.

For a client who is nervous about a first session, a private room versus an open floor gives the wider picture.

Time and cost

The session clock runs from the start of your booking, not from when the client is ready. Tell clients to allow five minutes, or schedule an extra buffer for a first visit. Rooms are from $18 an hour, and your first hour as a fitness professional is free through get-started. Use it to walk the route a client would take, from the garage door to the restroom to your room, and time it. The tour checklist has the other things to check while you are there.

Related questions

Do clients really care about where they change?

Many do, especially clients who come straight from work or who feel self conscious. A clear answer in your welcome message removes a worry before it can turn into a no show.

What should I tell clients to wear?

Tell them to arrive ready to train when the building has no changing space for them, and to bring a small bag for work clothes. Say it before the first session.

Where do I find out what the facility offers?

Ask the host in writing. The pro support team at prosupport@flexwerkfitness.com can confirm what is available, and nothing here should be read as a promise.
