Additional Insured Requests From a Facility: What It Means

Agreement and document signing in an office, as when a facility asks a trainer for an additional insured certificate

When a facility asks to be named “additional insured” on your policy, it is asking your insurer to extend coverage to the facility for claims that arise from your sessions, while you remain the policyholder. It is a routine request in commercial space rentals and usually takes a phone call or an online form to your insurer. Because the details differ by policy, you should know what to ask your agent before you book your first hour.

What the rule says

Additional insured status is created by an endorsement to your insurance policy and by the contract you sign with the facility, so the terms that govern it are the ones written in those documents rather than a single statute. The facility’s rental terms set what it requires, and your policy’s endorsement sets what the insurer will provide. This is general information, not legal or insurance advice, and terms change, so ask your insurance agent and, for contract wording, an attorney.

What the request actually means

An endorsement adds the facility’s name to your policy for specific purposes. The insurer issues a certificate of insurance listing the facility, and the facility keeps it on file. The practical effect is that if a client or guest makes a claim connected to your session and names the facility, your policy may respond for that claim, subject to its terms and limits.

It does not hand the facility your coverage in general, and it does not change your premiums for other clients unless your insurer says so. For the certificate itself, see certificate of insurance for gym rental.

A short checklist before you say yes

  1. Get the exact wording the facility requires. Copy it from the rental agreement.
  2. Send it to your agent and ask whether your policy can include it.
  3. Ask the price and whether it is a one-time or recurring charge.
  4. Ask the timeline from request to certificate in hand.
  5. Ask what it changes about your limits, such as whether the facility’s claims share your per-occurrence cap.
  6. Keep a copy of the endorsement, not just the certificate.

Some trainers carry a policy that already includes blanket additional insured language. Others need a named endorsement for each venue. Your agent can tell you which you have.

Timing and cost

Insurers differ. Some issue same-day certificates through an online portal, and others route requests through an agent who replies the next business day or later. Fees range from nothing to a modest line item. Rather than guess, ask, and if you plan to start training next week, request it now.

How this fits with the facility’s own cover

A rental does not remove your need for a policy. The facility covers its building, and you cover your work, as explained in what rental insurance includes. For FlexWerk’s specific requirements for renters, ask through the app or prosupport@flexwerkfitness.com instead of assuming from another building. For the broader picture of what a trainer should carry, see insurance to rent gym space and how limits are stated in how much liability coverage facilities ask for.

Questions to put to your agent

Bring your agent three plain questions. First, does my current policy allow additional insureds by blanket wording, or only by a named endorsement per venue? Second, is the facility’s required wording something you can accept as written, or does the insurer propose a variation? Third, how will I receive the certificate, and who updates it when the policy renews? Answers to those three usually settle the request in one conversation.

If you are unsure whether your policy qualifies, the answer is a short call. Make it before your first booking.

Related questions

Does naming a facility give it control of my policy?

No. An additional insured endorsement extends certain coverage to the named party for claims arising from your operations. You remain the policyholder, and your agent can explain the exact wording.

How long does the endorsement take?

It depends on the insurer and the agent. Some issue a certificate and endorsement quickly, others take days, so ask before your first booking rather than the day you plan to start.

What does it cost?

It varies by insurer. Some include it at no added charge and others bill a small fee, so ask your agent for the actual amount in writing.
