Payment Plan for an Expensive Training Package: Setup Guide

Young man filling out paperwork while assisting a client in a gym, a setup for offering a payment plan on an expensive training package

To split an expensive training package into installments without taking on unsecured credit risk, schedule payments so the client has always paid for more sessions than they have used. If you stay ahead of delivery, a missed payment means a paused calendar rather than a bill someone owes you. Fitness professionals can claim a first hour free in hourly space, a low-cost way to run the first sessions of a new package.

The pay-ahead rule

Take a 24-session package. Delivering the sessions over six months, you might collect:

Payment When Sessions covered
40 percent At signing Sessions 1 to 10
30 percent Before session 9 Sessions 11 to 17
30 percent Before session 16 Sessions 18 to 24

At every point the client has paid for sessions beyond the one on the calendar. If the second payment fails, you have delivered nothing you were not paid for. Amounts here are percentages, so apply them to your own price.

Setup in six steps

  1. Fix the total and the schedule in one signed document.
  2. Take a card on file at the first payment, with written permission to charge the later dates.
  3. Write the stop rule: bookings pause when an installment is more than a few days late.
  4. State the refund terms for unused sessions before anyone pays.
  5. Send reminders two days before each charge.
  6. Keep a ledger of paid, delivered and remaining sessions.

The ledger is the core of the system. A simple version is described in tracking prepaid session packs.

Mistakes that make you a lender

  • Delivering the first month in full and collecting later.
  • Letting a missed payment slide for “just a week” repeatedly.
  • Having no card or authorization on file, only a promise.
  • Splitting the payments evenly across the whole period, so you finish owed money.

What the buyer can cancel

Indiana’s health spa services chapter, IC 24-5-7, lets a buyer cancel a health spa or training contract by written notice before midnight of the third full business day after signing, and requires refunds within 30 days of a cancellation notice. Whether your arrangement falls under it is a question for an attorney, but build the first three days into your plan and avoid delivering a large block of sessions before that window passes. This is general information, not legal advice.

Writing the plan as a one-page agreement

Put everything on one page the client signs before the first charge. List the total price, the number of sessions, each installment amount and date, the card or account that will be charged, the stop rule for late payments, the refund rule for unused sessions, and the date by which the package must be finished. Add a line saying that sessions cannot be booked while an installment is overdue and that the schedule resumes when it clears. A client who reads those lines and signs has chosen the terms, and when a card fails you are pointing to something they agreed to rather than making up a penalty. Keep a copy in the client’s file with the ledger.

Choosing between plans and packages

If the client is paying a premium for an entire program, a plan helps them commit. If the amount is modest, simply price per session or use a monthly plan, as the page on per-session versus package pricing lays out. A third-party financing product is the alternative, covered in buy now pay later for personal training. Monthly mechanics live in recurring billing for trainers.

Related questions

How many installments should a large package be split into?

Few enough that the client is always paid ahead of what you have delivered. Two to four installments across the first half of the package usually does it.

What if a client misses the second installment?

Pause new bookings until it clears, which your written plan has already said. Sessions already delivered are covered by what has been paid.

Do I need a lawyer to write the plan?

A local attorney reviewing your contract once is cheap insurance, especially for the cancellation and refund wording.
