Booking Training Space Around Holidays: A Calendar Plan

Plan holidays one season at a time: expect strong demand just before them, uneven demand around them and a quiet stretch at year end, and tell clients your schedule four to six weeks ahead. Because you pay only for booked hours, a quiet week costs you nothing in rent. A free first hour lets you test an unusual slot before you sell it to clients.
A season-by-season calendar
| Window | What tends to happen | What to do |
|---|---|---|
| Thanksgiving week | Turkey trot mornings draw attention to fitness, then midweek goes quiet | Offer a pre-holiday tune-up, then rest |
| Mid-December | Busy before travel, then quiet | Book extra slots early, move clients up |
| Year-end week | Many clients travel, bookings drop | Close or run a short skeleton schedule |
| Early January | Resolution demand and new inquiries | Book recurring slots early |
| Spring break weeks | School calendars scatter parent clients | Poll families, pause or flex |
| Early summer | Travel and camp schedules loosen routines | Offer flexible, shorter sessions |
Turkey trots take place Thanksgiving morning, and the Diwali date is November 8 in 2026, so check your own client mix for observances that move their week. Daylight and weather also shape habits, as covered in when gym spaces book up.
Decide your own closed dates first
Before you book anything, decide which days you will not work. Write them down and keep them consistent from year to year, so clients learn the rhythm. Then book space only for the days you will teach. A quiet week is a good time to cancel unused slots in the app promptly, following the live cancellation rules; the principle is covered in the cancellation policy answer.
Tell clients in two messages
- Six weeks out: the dates you are closed, the extra sessions you are adding and the booking deadline.
- One week out: a short reminder with the last day to rebook and your first session back.
Keep the tone warm and plain. A client who has the dates early plans around them, and one who learns the week before tends to skip.
Use quiet weeks on purpose
Not every empty week is a loss. Some coaches use it for planning, content filming or a short workshop, as in a holiday party fitness session. Others offer a limited holiday block for clients staying in town, where demand can be strong because gyms are crowded and schedules are loose.
Book early where it matters
Lock recurring slots as soon as your clients commit, as outlined in how far in advance to book. For FlexWerk’s holiday hours specifically, the live calendar in the app is the source to trust, and prosupport@flexwerkfitness.com can confirm anything unclear.
A one-page holiday worksheet
Once a year, write four lines: the dates you will be closed, the dates you will add sessions, the date you will message clients and the date you will review bookings. Put them in your calendar with reminders. Coaches who do this once rarely scramble later, and the worksheet carries over, with small edits, to next year.
Set the calendar once a year, adjust it as clients respond, and your holiday weeks will stop surprising you.
Related questions
Does FlexWerk change its hours on holidays?
Check the app for holiday hours before you promise clients a slot. The standard hours are Monday to Friday 5 AM to 9 PM and weekends 7 AM to 4 PM, and any exception will show on the live calendar.
When should I tell clients about my holiday schedule?
Four to six weeks before the first affected date is a comfortable lead for most clients. Send a short message with the closed dates, the extra slots and the last day to rebook.
Is it worth booking space on a holiday itself?
Sometimes. Demand for a holiday-morning session can be strong when families are home and gyms are crowded, but test it with one slot before opening several.
